Submissions
Items to include when submitting your project for review must include the items below:
(These are broad, general guidelines outlined on this page and NOT comprehensive - please make sure you are familiar with our "Governing Documents" from that page - specifically the "Design Guidelines" and the "Handbook")
Site Plan: Drafted to scale, showing the entire lot with all easements and setbacks, etc.
If structural changes are planned, include floor plans to scale showing new structure and pertinent information with relationship to any existing structures. structures, and clearly defined new structures (be sure to include driveways and patios).
Elevations: Drafted to scale, showing all sides with relationship to existing structures, including clear notation of all materials and colors.
List of Materials: e.g., shingles, fencing, siding, pavers, or other hard structure surface, paint colors (if applicable), and plants.
Photos: of Actual Site and House from multiple angles.
Exterior Paint Changes: If you are repainting your home, please provide a rendition with your submission of the new colors you are proposing. The ARB will also require that you paint sample boards (boards comparable to what are currently on your home) with your new proposed colors. Large enough so that the ARB may drive by to view in different lighting. The ARB will not require this for small like for like projects, only large exterior changes in color.
Please also note that exterior paint changes may take a bit longer due to the time it will take for ARB members to view these samples at different times of day.
Basketball Hoops: Portable basketball hoops are not permitted. Any portable hoop without an ARB approval record on file (grandfathered prior to December 31, 2022) requires removal. Permanent basketball hoops require prior ARB approval and a green screening plan. Permanent hoops must be placed as far up the driveway as practical, no further than 1/3 of the driveway length from the garage - not closer to the street. Hoops may not be attached to the house or placed in front of or between garage doors, along sidewalks, curbs, or streets. The pole must be black or New Albany Green; the backboard must be tempered glass, minimum 50” and maximum 72” horizontal. Ball return equipment, return nets, and auxiliary lights are prohibited. The entire unit must be maintained in like-new condition at all times, including the net. Green screening is required: arborvitae or similar plantings, at the approval of the ARB. For submission purposes, please provide a site plan or aerial image of your home indicating where the hoop will be placed, where screening will be installed, and hoop specifications.
Pergolas | Pavilions: Pergolas or Pavilions will be accepted for ARB review as long as they are made of wood or wood composite and blend into the architecture of the neighborhood/home. No prefab or vinyl pergolas or pavilions will be permitted. All pergolas and pavilions will be required to be submitted for ARB review and approval.
Please note submissions will not be reviewed by the ARB without complete information provided at time of submission.
Submission fees are based on project scope/type: Fees vary by project scope - contact the property manager for current fee information.
No project will be submitted for review with an outstanding violation(s) on the property. If you are unsure if you have an outstanding violation, please log into the CPS Portal or call the them to check first.
Submission approvals are only valid for 6 months. If you need an extension you will need to request that through the CPS, who will communicate such request to the ARB.
Note: If the work to be performed is for exact replacement, the owner may submit the work order and/or estimate as long as it includes a materials list that conform to Architectural Review Board guidelines, owners name, address and phone number, along with contractors name, address and phone numbers, and photos of the damaged area. This will allow the Architectural Review Board to expedite the review and/or approval process. (Normal for insurance claims after storm damage.)
Submission Form:
ARB project submissions are submitted online at https://portal.cpscolumbus.com/public Complete all required fields and attach all required documentation before submitting. Incomplete submissions will not be reviewed.
Response Time:
Upon approval, an official notice will be sent to you for your records and a copy will be kept in our files. If your plan is not approved, you will be notified in writing and what conditions, if any, must be met to obtain approval.
The Architectural Review Board attempts to respond to all applications within a 30-day timeframe (often quicker, whenever possible - especially for items such as roofs). However, Solar Projects or Exterior Paint Projects will have a timeframe of 60-90 days, as those require more deliberation and possible on-site review. That said, the rule is that an application must be submitted and approved before any exterior improvement is undertaken.
Emergency Submissions:
Emergency repairs are understood when details have been communicated with the management office; however, submission approval will still be required. Determination of “emergency repair” will be at the sole discretion of the review board.
Coordinating with Neighbors
Before submitting the above information, the Architectural Review Board requests that you carefully consider any potential impacts that your improvements will have on your neighbors.
Compliance & Violations
Failing to make a submission for approval or starting any project prior to obtaining approval could result in fines and fees along with the requirement to submit the required documents. Please check with your management office for any questions.
